Marketing Audiences and CRM Segments

Overview

OneSuite Marketing Segments build dynamic audiences from CRM contacts. The current audience builder is designed to make tags the easiest starting point: choose one or more contact tags, then optionally narrow the audience using other filters. A live Matching Contacts preview helps verify who will be included before the segment is saved or used by a campaign.

Business Value and Typical Use Cases

  • Create an audience of VIP customers using a CRM tag.
  • Target leads from a particular source.
  • Narrow an audience by owner, contact status, creation date, or contact preference.
  • Preview eligible contacts before choosing the segment in a campaign.

Before You Begin

  • Add meaningful tags to CRM contacts when tag-based targeting is desired.
  • Confirm contacts have usable email addresses for email campaigns.
  • Review contact preferences before marketing outreach.

Prerequisites and Permissions

  • CRM contacts.
  • Marketing access.
  • Tags or other usable contact fields for segmentation.

Concepts

Selected tags use an ANY relationship: a contact linked to any selected tag can be included. Optional filters narrow the tagged audience further and are combined with the tag rule. Suppression and contact-preference rules are applied in preview so the visible count reflects eligible recipients more accurately.

How This Feature Fits Into OneSuite

Marketing audiences derive value from accurate CRM contacts, tags, and customer data. Poor CRM hygiene directly reduces campaign accuracy.

Campaign results should feed operational follow-up: sales teams may need tasks or CRM review, while managers may use reporting to adjust future audience and messaging decisions.

Screen Orientation

Marketing workflows begin with audience quality. Before building or sending a campaign, confirm the intended CRM contacts, tags/segments, consent expectations, and sender configuration.

Use recipient previews and audience counts as a verification step. A campaign should not be sent simply because the composer is complete; staff should understand exactly which records currently match the audience rules.

Campaign scheduling and sending are operational actions with customer impact. Establish an approval process for subject line, content, audience, links, timing, and sender identity.

  • Open the area described in this guide and pause before editing. Identify the page heading, primary action button, search/filter controls, record list or detail panel, status indicators, and any related-record or history areas. This quick orientation prevents users from applying instructions to the wrong record or module.
  • When the page contains both a list and a record/detail view, use the list for discovery and the detail view for action. Search or filter first, then open the exact record and verify identifying information before making changes.

Role-Specific Guidance

  • Marketing users prepare audiences, content, and campaigns within the permissions granted to them.
  • Managers approve target audience, messaging, timing, and performance review practices.
  • Administrators maintain connected sending accounts, permissions, and CRM data quality that marketing depends on.

Step-by-Step Instructions

  1. Open Marketing and select Audiences or Segments.
  2. Create a new segment or open an existing one.
  3. Enter a clear Segment Name such as VIP Customers or Baltimore Leads.
  4. Select one or more Contact Tags. The count shown on each tag indicates linked CRM contacts before suppression rules.
  5. Open Optional Filters only when you need to narrow the audience by lead source, owner, status, date, or contact preference.
  6. Review the Matching Contacts count and preview list.
  7. Use Refresh Preview after changing criteria when needed.
  8. Save the segment after the preview represents the audience you intend to reach.

Expected Results

The saved segment should remain available to authorized users and should resolve to the CRM contacts who currently match its rules and eligibility requirements.

Verification Checklist

  • Confirm the correct OneSuite user is signed in and the expected role/permissions are active.
  • Confirm the customer, company, invoice, product, message, appointment, employee, or other record shown on screen is the one intended for the task.
  • After saving or completing the action, refresh or return to the relevant list and verify the new status, history entry, balance, message, appointment, or record appears where expected.
  • Preview matching recipients and confirm sender, subject, content, links, audience, and schedule before sending.

Business Workflow

  • Tag CRM contacts → Build audience segment → Preview matching contacts → Save segment → Select segment in campaign → Send or schedule campaign.

Real-World Business Scenarios

  • Segmented customer update: define the CRM audience, preview matching contacts, review the content, then schedule or send using the approved campaign workflow.
  • Tag-based promotion: confirm tags represent the intended business group before relying on them for campaign targeting.
  • Campaign follow-up: review delivery/engagement information available in the production interface and create the appropriate sales or service follow-up process.

Advanced Operational Guidance

  • For repeatable business work, standardize naming, ownership, tags/statuses, and staff responsibilities before increasing volume. Consistency makes OneSuite search, reporting, history, and handoffs substantially more useful.
  • When multiple modules participate in the workflow, verify each handoff. Do not assume that completing one screen automatically proves the customer, payment, communication, or reporting outcome is correct elsewhere.
  • Treat CRM data quality as part of marketing operations. Campaign accuracy cannot exceed the accuracy of contact identity, email addresses, tags, and audience rules.

Best Practices

  • Use tags as the primary business classification and optional filters only when they add real value.
  • Name segments so another staff member can understand the audience without opening it.
  • Always review Matching Contacts before using a new segment in a campaign.

Common Mistakes

  • Adding too many optional filters and accidentally reducing the audience to zero.
  • Expecting a tag count to equal the final eligible-recipient count.
  • Creating segments before CRM contacts have consistent tags.

Troubleshooting

  • No contacts match: remove optional filters and confirm the selected tag is assigned to contacts.
  • A tagged contact is missing: review contact eligibility and Do Not Contact settings.
  • The campaign segment selector is empty: create or save an active audience segment first.
